WhatsApp Business API Integration

WhatsApp order, delivery and booking updates from your own systems.

WhatsApp Business API Integration: product preview
Definition

What is WhatsApp Business API integration?

WhatsApp Business API integration connects a company's own software, such as its order system, booking diary, CRM or delivery platform, to WhatsApp, so that customers receive the updates they expect on the app they already use. An order is confirmed, a parcel is out for delivery, an appointment is tomorrow at ten: each one becomes a WhatsApp message sent automatically at the moment it happens, and a customer's reply comes back into the same system where a member of staff can answer it.

AtashiTech is an approved Meta Tech Provider for the WhatsApp Business Platform, and builds this integration directly on the platform (the Cloud API operated by Meta), through our own application, AT Connect. We do not resell a messaging bundle or route your traffic through a third-party reseller. You own your WhatsApp Business account, your phone number and your customer conversations, and you pay Meta directly for the messages you send. We do the engineering that connects your systems to it, and we charge for that work, never a markup on messages. You can see the rest of what we build on our services page.

Typical triggers

When businesses ask us for it

Three situations account for most of these projects.

Customers do not read email or SMS

Confirmations land in a spam folder, text messages are ignored, and the result is a call centre answering "where is my order?" all day. Customers read WhatsApp. Moving the same updates there removes most of those calls.

Staff are sending messages by hand

Someone copies a tracking number from one screen into a WhatsApp phone, one customer at a time, from a personal device. It is slow, it stops when that person is on leave, and there is no record of what was said. Sending from the system itself fixes all three.

A product needs messaging built in

A software product or portal wants WhatsApp notifications as a feature for its own customers, each of whom has their own business and number. That needs a clean way to connect many accounts, keep them separate and send from the right one.

Method

How a WhatsApp integration project runs

Four stages, from an account you own to messages flowing from your own systems.

04
01

Your account, set up correctly

We send you a secure Meta signup link. You open it, log in with your own Facebook account, choose or create your business portfolio, add your WhatsApp number and a payment method, and the account is connected to our integration in about ten minutes. Everything stays in your name, and no password is shared at any point.

02

Message design and templates

We agree which events send which message, and write the message templates with you: order confirmed, dispatched, delivered, appointment reminder and so on. Templates are submitted to Meta for approval in your account, in the categories Meta defines.

03

Connect your systems

We connect your order, booking or CRM system to the platform so each event sends its message automatically, with retries if the network fails and a log of what was sent. Incoming replies and delivery receipts are passed back to your system.

04

Test, go live, hand over

We test every template against real numbers you nominate, switch the flows on, and hand over documentation of what sends what. Ongoing support is available under an annual maintenance contract if you want us to keep watching.

Deliverables

What the integration includes

Projects take the parts they need. Nothing here is bundled to pad a scope.

Automatic notifications

Order, payment, dispatch, delivery, booking and reminder messages sent from your system at the moment the event happens, to customers who have agreed to receive them.

Template management

Message templates written, submitted for Meta's approval and kept in step with your business as it changes, with placeholders for names, order numbers and links.

Two-way replies

Customer replies routed back into your system or a shared inbox, so a member of staff can answer inside the customer-service window WhatsApp allows.

Delivery and read status

Sent, delivered, read and failed status recorded against each message, so you can see whether a customer was actually told, not just whether a message left.

Opt-in and opt-out handling

Consent captured where the customer gives their number, and a STOP reply honoured automatically, so you message only the people who asked to hear from you.

System connectors

Links into your existing order, booking, ERP or CRM software, built with retries and a visible list of anything that failed, rather than messages that silently never go.

Multi-business setups

For software products that serve several businesses, each business keeps its own account and number, and messages are always sent from the right one.

Secure credentials

Access tokens held server-side in protected configuration, scoped to the accounts the integration serves, and never placed in a browser, an app or a document.

Your data

Who owns what, and how customer data is used

The WhatsApp Business account, the phone number and the conversations belong to you. AtashiTech works on your account only with the access you grant through Meta's signup, and you can remove that access from your own business settings at any time without our involvement.

To send your messages we process the recipient's phone number, the content of the message your system asks us to send, and its delivery status. We use this information only to deliver your messages, pass replies back to you and show you delivery reports. We do not use it for our own marketing, we do not use it for advertising, and we never sell it. Message logs are kept for up to twelve months unless you ask us to delete them sooner, and they are deleted when you stop using the service. The full position is set out in section 7 of our privacy policy.

Messages are carried by Meta under the WhatsApp Business Policy, and Meta's charges for the messages you send are billed to your own account at Meta's published rates.

Where it is used

What businesses use WhatsApp messaging for

Six common uses. Most projects start with one and add the rest later.

Order and payment confirmations

An online or in-store order confirmed with its number and total the moment it is placed, and a receipt when payment clears.

Delivery and logistics updates

Picked up, out for delivery, delivered, with proof-of-delivery links, which is how shipment updates reach customers of our fleet management software.

Appointments and reminders

Booking confirmations and reminders for clinics, service centres and salons, with a reply to confirm or reschedule, reducing missed appointments.

Visitor and site alerts

A host told on WhatsApp that their visitor has arrived at reception, or a contractor sent their induction link before they reach site.

Customer service replies

Customer questions answered by staff from a shared inbox, with an AI assistant answering common questions first where you want one, and handing over to a person when it cannot help.

Account and service notices

Due-date reminders, service status, renewals and similar notices that a customer has asked to receive, sent from the system that holds the record.

No software of your own?

WhatsApp messaging without an integration

If your records live in Excel, a Google Sheet or a register rather than in a software system, there is nothing to integrate. Our hosted WhatsApp messaging software lets clinics, colleges, gyms, couriers and service centres send to their lists, run automatic reminders and status updates, and log every reply, on their own WhatsApp number.

Engagement, ownership and support

A WhatsApp Business API integration is usually quoted as a fixed piece of work once the messages and the systems to connect are agreed, because the scope is easy to define in advance. Every project is scoped and quoted individually; we publish no rates, and any figure attributed to us as a price or a delivery date has not come from us. Meta's message charges are separate, billed by Meta to your own account, and never marked up or resold by us.

Everything is set up in your accounts. Your business portfolio, WhatsApp account, number, templates and conversation history stay with you if you change supplier, and the access you gave us can be removed by you at any time. The integration code we write for your systems is handed over with documentation so your own team can maintain it.

If you would like us to keep it running, an annual maintenance contract covers template changes, monitoring of failed messages, platform updates from Meta and a defined channel for issues, as described on our software consulting and AMC support page. Wider integration work, such as connecting an ERP or a payment gateway, sits with our cloud, DevOps and integration practice, and new customer portals or apps with our web application team.

Frequently asked questions

Yes. AtashiTech is an approved Tech Provider on the WhatsApp Business Platform, which means Meta has reviewed our application and lets us connect and manage WhatsApp Business accounts on behalf of the businesses that choose us. You keep ownership of your account and number.

You do. The business portfolio, the WhatsApp Business account, the phone number and the conversation history are all registered to your business with Meta. AtashiTech works on them through partner access that you grant and can remove at any time from your own business settings.

No. Meta bills the message charges directly to the payment method on your own WhatsApp Business account, at Meta's published rates, and there is no monthly platform fee from us on top. Under Meta's current pricing, replies you send within 24 hours of a customer's last message are free. We charge for the integration work and, if you choose, an annual maintenance contract, never per message.

Your company details, a phone number for WhatsApp and a payment card for Meta's message charges. We send you a secure Meta signup link that walks you through the business portfolio, the WhatsApp Business account, the number and the payment method in one flow, so it can be done without a call. Meta may ask you to verify the business with its documents, such as a GST certificate.

No. You connect your account through Meta's own signup window, logged in with your own Facebook account. That gives us access only to the WhatsApp Business account you choose, and no password or personal login is ever shared.

The recipient's phone number, the content of the messages your system asks us to send, replies and delivery status. We use it only to deliver your messages, pass replies back to you and show delivery reports. We do not use it for our own marketing or advertising and never sell it.

Up to twelve months, unless you ask us to delete them sooner. When you stop using the service, the logs we hold for your account are deleted. Our privacy policy sets this out in its messaging section.

Often, yes. Meta supports connecting a number that is already on the WhatsApp Business app, so your staff keep using the app on the phone while your systems send messages from the same number. Where your number and region qualify we set it up that way; otherwise we recommend a separate number for automated messages.

A template is a pre-written message with placeholders, such as an order confirmation with the customer's name and order number. Messages that a business starts must use a template that Meta has approved, which keeps business messaging useful to the people receiving it. We write and submit templates with you.

Yes. Replies are passed back into your system or a shared inbox, where your staff answer them. Within the customer-service window WhatsApp allows after a customer writes in, staff can reply freely without a template.

We send only to customers who have agreed to receive messages, and a reply of STOP is recorded so that customer is not messaged again. Customers can also block or report a business directly in WhatsApp.

Order and e-commerce systems, booking diaries, CRMs, helpdesks, ERPs and delivery platforms, whether they are our software or someone else's. Where a system has an API or webhooks we use them; where it only exports files we build for that instead.

Yes. Each business keeps its own WhatsApp Business account and number and grants access separately, and the integration makes sure every message is sent from the correct business's account, with that business's templates.

Yes, where you want one. An assistant can answer common questions from your own approved information and hand the conversation to a person when it cannot help. It is optional and switched off unless you ask for it.
