What is contractor induction kiosk software?
Contractor induction kiosk software is the application that stands between a third-party worker and your site. Before a contractor, subcontractor or vendor engineer sets foot past the gate, it checks who they are, which company employs them, whether that company is approved, whether the individual holds the trade licence, medical clearance and insurance the work requires, and whether the induction covering your hazards is current. Where the job needs a permit to work, the kiosk issues or verifies it. Only then does it print a site access badge and tell the gate controller to let the person through. What it leaves behind is a dated, photographed record of exactly who is on site, working for whom, and under whose authorisation.

Employees are on a payroll, hold a company card and appear in an HR system. Contractors arrive in a van at seven in the morning, and the person who decides whether they may enter is a guard with a register.
The old way
A contracting firm sends whoever is available. The guard writes a name in a book, glances at a licence copy that may be expired, photographs nothing and issues a generic visitor pass. Documents live in a folder on the safety officer's desk or in an inbox: this welder's certificate, that firm's insurance, last quarter's medicals. The permit to work is a paper form filled in at a desk somewhere and rarely reconciled with the people who actually turned up.
Two problems follow. The first is legal: after an incident, the site has to show that the injured contractor was competent, inducted and authorised for that specific work, and the folder cannot prove it. The second is operational: nobody can answer "who is inside right now" during an evacuation, because the register lists arrivals and only sometimes departures, and it certainly does not know which subcontractor sits under which principal contractor.

How it works
Two of the four steps happen before the worker leaves home. That is the point: the gate should be a confirmation, not the first time anybody looked at the paperwork.
Enrol the employer
The contracting firm is registered against a work order and uploads its own documents: registration, statutory compliance, insurance and any site-specific approval. Subcontractors are attached beneath the principal contractor, so the hierarchy that exists on the job also exists in the records.
Enrol the workers
Each worker is added by their employer with a photograph, an ID reference, their trade, and the licences, medical certificates and training records the trade requires. Every document carries its own expiry, and the portal warns the employer before one lapses rather than at the gate.
Verify at the gate
At the kiosk the worker scans an ID or QR code, or presents a finger. The software re-checks employer approval, document validity and induction currency, delivers any outstanding induction module, and captures a fresh photograph. Anything missing is shown as a specific reason, not as a refusal.
Issue permit, badge and access
Where the job needs a permit to work, it is issued or linked at this point with its validity window and the areas it covers. The badge prints with the worker, the employer, the trade and the permit reference, and the gate controller receives the authorisation to open.

Employers, subcontractors and individual workers are held in a tree tied to a work order, so a report can be produced by principal contractor, by tier or by individual without anybody reconciling lists.
Document and licence upload
Trade licences, competency certificates, medical fitness records, insurance and statutory documents are uploaded by the employer through the portal, reviewed by your team and stored against the worker or the firm.
Expiry rules and alerts
Every document has a validity date. The system warns the employer and your contracts team in advance, and refuses entry once the date passes, so a lapse is handled as a diary item rather than as an argument at the gate.
Permit to work issuance
Permits are raised against a work order with the activity, the area, the validity window and the approvals required, and the permit reference is carried on the badge so a supervisor can check it in the field.
Site induction delivery
An outstanding induction is delivered at the kiosk before the badge prints, using the same engine as our safety training and compliance kiosk, so induction and access control share one record.
Biometric and QR site access
Regular workers re-enter with a fingerprint or a QR badge rather than repeating the full check, while the rules are still evaluated on every entry so an expired document takes effect the same day.
Live headcount and evacuation roster
Entry and exit events keep a running list of who is on site, which exports as a muster roster by area and employer during a drill or an emergency. The list is printable from the gatehouse without a network connection.
Attendance and work-order reporting
Gate events give contractor man-hours by work order, employer and trade, which is the number a contracts or projects team needs when a bill for labour arrives at the end of the month.
Hardware and integrations
A contractor gate is usually a kiosk plus a turnstile plus a printer, sometimes in a portacabin with poor connectivity and a lot of dust. The application talks to each device through the manufacturer's SDK and reports its state, so a jammed printer is a message on screen rather than a queue outside.
What each check gates
The value of the system is in what it refuses, so it is worth being explicit about which check blocks entry, which merely warns, and who can override. Every rule below is configurable per site, and every override is recorded with the name of the person who granted it.

Deployment

Offline operation
The rules, the worker records and the induction content are held on the gate machine, so verification, badge printing and gate release continue during an outage. Newly uploaded documents cannot arrive while the link is down, which is precisely why the pre-enrolment portal exists; the kiosk records every entry locally and reconciles afterwards, and the evacuation roster prints from the local copy.
