Employees are on a payroll, hold a company card and appear in an HR system. Contractors arrive in a van at seven in the morning, and the person who decides whether they may enter is a guard with a register.

The old way

A contracting firm sends whoever is available. The guard writes a name in a book, glances at a licence copy that may be expired, photographs nothing and issues a generic visitor pass. Documents live in a folder on the safety officer's desk or in an inbox: this welder's certificate, that firm's insurance, last quarter's medicals. The permit to work is a paper form filled in at a desk somewhere and rarely reconciled with the people who actually turned up.

The first is legal: after an incident, the site has to show that the injured contractor was competent, inducted and authorised for that specific work, and the folder cannot prove it. The second is operational: nobody can answer "who is inside right now" during an evacuation, because the register lists arrivals and only sometimes departures, and it certainly does not know which subcontractor sits under which principal contractor.

Enrol the employer

The contracting firm is registered against a work order and uploads its own documents: registration, statutory compliance, insurance and any site-specific approval. Subcontractors are attached beneath the principal contractor, so the hierarchy that exists on the job also exists in the records.

Enrol the workers

Each worker is added by their employer with a photograph, an ID reference, their trade, and the licences, medical certificates and training records the trade requires. Every document carries its own expiry, and the portal warns the employer before one lapses rather than at the gate.

Verify at the gate

At the kiosk the worker scans an ID or QR code, or presents a finger. The software re-checks employer approval, document validity and induction currency, delivers any outstanding induction module, and captures a fresh photograph. Anything missing is shown as a specific reason, not as a refusal.

Issue permit, badge and access

Where the job needs a permit to work, it is issued or linked at this point with its validity window and the areas it covers. The badge prints with the worker, the employer, the trade and the permit reference, and the gate controller receives the authorisation to open.
