Invoicing Software: product preview
Overview

What is invoicing software?

Invoicing software turns the work you have done into a correct, numbered invoice, sends it to the customer and keeps track of what has been paid. A good one also handles the paperwork around the invoice: the quote that came before it, the proforma a customer asks for before paying a deposit, the credit note when something is returned, and the VAT on every line, worked out the way your tax authority expects.

AtashiTech's invoicing software is a web application for small businesses, freelancers and sole traders in the United Kingdom, the European Union, Switzerland, Norway and a number of other countries. It is free for one user: sign up with your email address, confirm it with the six-digit code we send, set up your business, and issue your first invoice the same day. No card, no trial that runs out.

It is built around the rules of the country you trade from. Pick your country when you sign up and the software loads that country's VAT rates, the name your tax authority gives the VAT number, its date and number formats, its currency and its financial year. A business in Germany sees its VAT identification number labelled as the USt-IdNr. and amounts written as 1.234,56 €; a business in the UK sees its VAT registration number and £1,234.56.

The problem

Invoices in a word processor, VAT in a spreadsheet

How most small businesses invoice

A template in a word processor is copied for each new customer. The invoice number is whatever the last file said plus one, unless two invoices were written on the same afternoon. VAT is worked out on a calculator, the rate for a reduced-rate item is looked up again every time, and a customer in another EU country gets the same VAT as a local one because nobody remembered the reverse charge. The PDF goes out by email, and whether it was paid lives in someone's head or in a separate spreadsheet that is never quite up to date. Accounting suites solve this, but they are built for bookkeepers and charge a monthly fee from the first invoice.

How it works with our invoicing software

Customers and the things you sell are saved once. A new invoice takes the customer, the items and the VAT rate, and the totals are calculated on the server as you type, so the figures on screen are the figures on the PDF. When you issue the invoice it gets the next number in an unbroken sequence for that document type and financial year, and it can no longer be edited: corrections are made with a credit note, as tax rules expect. You send it as a PDF, a link or a WhatsApp message, record payments as they arrive, and the dashboard shows what is owed and what is overdue.

How it works

Four steps from sign-up to a paid invoice

01

Sign up free

Enter your name, your business name, your country, your email address and a password. Type the six-digit code we email you and your account is open on the free plan.

02

Set up your business

Add your address and logo, say whether you are VAT registered, and enter your VAT number. Your country's VAT rates are already loaded; in the US and Canada you pick the state or province.

03

Create and issue

Choose a customer, add lines from your saved items or type them in, and watch the VAT and totals update. Save a draft, or issue it and it takes its number.

04

Send and get paid

Email it with the PDF attached, copy a secure link, or send it over WhatsApp. Record each payment as it arrives; part payments are tracked until the balance is zero.

Features

What the free plan includes

The free plan is the full product for one user and one business. It is not a cut-down trial.

Four document types

Quotes, proforma invoices, invoices and credit notes in one place. A quote or proforma converts into an invoice in one step, and the original is marked as converted once that invoice is issued.

VAT worked out for you

Standard, reduced, zero and exempt rates for your country, prices entered with or without VAT, several VAT rates on one invoice, and rounding to the currency's own decimal places.

EU reverse charge

When an EU business invoices a customer with a VAT number in another EU country, the software suggests the reverse charge for services and the intra-Community supply rate for goods.

Unbroken numbering

Each document type has its own sequence per financial year, such as INV-2026-0001, with no gaps and no duplicates. Issued documents are locked; changes go through a credit note.

PDF and share link

A clean PDF with your logo, and a private link the customer can open on a phone without an account. You can see when the link was first opened.

Email and WhatsApp

Send by email with the PDF attached, under your business name, or open a ready-made WhatsApp message with the link.

Payments and balances

Record payments by bank transfer, card, cash or other methods, including part payments. Paid and part-paid status follows the payments and any credit notes on their own.

Dashboard

Sales this month, what customers owe you, what is overdue, open quotes and your most recent documents, the moment you sign in.

Customers and items

A customer list with billing addresses, VAT numbers and payment terms, and an items list with prices and default VAT rates, so a line takes seconds.

CSV export

Export your invoices and other documents, your payments and your customers to CSV for your accountant or your bookkeeping software.

Not VAT registered yet?

Businesses below the VAT threshold issue a plain invoice with no VAT. Register later, switch the setting, and your next invoice carries VAT and your number.

English and Arabic

The application works in English and in Arabic with a right-to-left layout. Documents follow your country's date and number formats.

Countries it is ready for

Each country comes with its own VAT rates, VAT-number label, currency, number and date format, and financial year, so a UK business's numbering follows the April year and a German business's the calendar year.

VAT rules

Built for European VAT, not adapted to it

Every country in the list has its own set of VAT rates, researched from the tax authority's published rates and kept as data, not hard-coded. Your business gets its own copy of those rates when you sign up, so the rate on an invoice you issued last year never changes after the fact. You can choose which rate is the default and add the rates you need.

Inside the EU, the two cases that catch small businesses out are handled for you. For services to a business customer in another EU country, the reverse charge is suggested with the wording that goes with it. For goods sent to a VAT-registered customer in another member state, the zero-rated intra-Community supply is suggested. You stay in control: the suggestion fills the VAT rate on the line, and you can change it.

When you issue a document, your business details and the customer's details are frozen onto it exactly as they were that day, so a later change of address does not alter an invoice you have already sent. The document title follows your country and your registration: a VAT-registered business in the UK issues a VAT invoice, and a business that is not registered issues a plain invoice without VAT.

Who it is for

Small businesses that send invoices every week

Freelancers and contractors

Designers, developers, consultants and translators billing clients at home and across the EU, with the reverse charge where it applies.

Trades and services

Builders, electricians, cleaners and repairers who quote first, invoice later and take part payments.

Small shops and studios

Businesses selling products and services together, with reduced and standard rates on the same invoice.

New businesses

Sole traders below the VAT threshold who want proper numbered invoices now and VAT invoices the day they register.

Agencies and consultancies

Firms that send proformas before work starts and credit notes when the scope changes.

Cross-border sellers

Businesses that invoice customers in other countries and in other currencies than their own.

Good to know

What it does not do yet

We would rather you knew before you sign up. The free plan has one login; plans with several users and roles are on the way, and you can ask us about them now. Payments are recorded by you, not collected online: there is no card payment button on the invoice yet. Reminders, recurring invoices and customer statements are not built yet. Electronic invoicing in structured formats such as Peppol, Factur-X or XRechnung, and direct VAT return filing such as Making Tax Digital in the UK, are not part of the product today; you can export your data to CSV for your accountant or your bookkeeping software.

Documents on the free plan carry a small line at the foot saying which software made them. The application's own screens are in English and Arabic.

Need more than an invoicing tool? The same team builds ERP software to your requirements and runs the sales CRM our own sales team uses, and we can connect invoicing to the systems you already have through our web application development service.

The United Kingdom, all 27 EU member states, Switzerland, Norway, the United States, Canada, the UAE and the other Gulf states, Singapore, the Philippines, Australia and New Zealand. Yes. Tell the set-up page you are not registered and your invoices are issued as plain invoices without VAT. When you register, switch the setting and add your VAT number; your next invoice carries VAT and the number.

Each document type has its own unbroken sequence per financial year, for example INV-2026-0001, or INV-26-27-0001 where the financial year starts mid-year, as in the UK. A number is given only when you issue the document, so drafts never leave gaps.

Drafts can be changed freely. Once issued, an invoice is locked and cannot be edited or deleted, which is what tax rules expect. To correct it, issue a credit note for the amount, up to the invoice's remaining balance, and then a new invoice if needed.

Three ways: by email with the PDF attached, sent under your business name; as a private link the customer opens on any phone or computer without an account; or as a WhatsApp message with the link. You can also download the PDF and send it yourself.

Not yet. Today you record payments yourself when they arrive, by bank transfer, card, cash, cheque or another method, including part payments. The invoice shows as part paid or paid on its own.

Yes. Quotes and proforma invoices use the same editor as invoices. When the customer accepts, convert the quote or proforma into an invoice in one step; the original is marked as converted once that invoice is issued.

Not today. The software produces PDF invoices and share links, and exports your documents, payments and customers to CSV for your accountant or bookkeeping software. Structured e-invoicing and direct VAT return filing are not part of the product yet.
