Sales CRM Software: product preview
Definition

What is sales CRM software?

Sales CRM software is where a company keeps track of every person who might buy from it and everything that has happened since they first got in touch. It records where an enquiry came from, who owns it, what was said, when the next call is due, which quotation was sent and whether it was accepted. A good CRM also makes sure that nothing waits too long: a new enquiry that nobody answers is the most expensive kind of lead there is.

AtashiTech's sales CRM is a web application for companies that sell high-value products or projects, where a sale is followed by an order, delivery, installation, invoices and often a maintenance contract. It takes a lead from the first web enquiry through deals, quotations, sales orders, invoices and receipts, and it is the system our own sales team works in every day. It runs in any modern browser on a desktop, laptop or tablet; there is no separate mobile app.

The problem

Where sales teams lose deals they never knew they had

Most lost deals are not lost to a competitor. They are lost to silence, to a quotation that went out with the wrong tax, or to an order that nobody followed through.

The old way

Enquiries arrive in a shared inbox, a website form and a salesperson's phone. Some are answered within minutes, some after a week, and nobody can say which. Leads are kept in personal spreadsheets, so when a salesperson leaves, their pipeline leaves with them. Quotations are edited copies of older quotations, with discounts nobody approved. Once a deal is won, the order, the delivery, the installation and the invoices are tracked somewhere else again, and the maintenance contract renewal is remembered only when the customer calls with a fault.

The AtashiTech way

Every enquiry lands in one place, gets an owner and starts a response clock. If nobody responds in time, the clock escalates to the owner's manager and then further up. The quotation is built from your product list, the tax is calculated for you, and a large discount waits for approval before it can be sent. A won deal becomes a sales order with its own stages and tasks, and invoices, receipts, contracts and support tickets all hang off the same customer. When a salesperson leaves, their open leads move to someone who will follow them up.

How it works

How it works, from enquiry to invoice

Four stages, each built on the one before, so the customer's history is complete when the next person picks it up.

01

Capture the lead

Leads arrive from a form on your website, an Excel import or a salesperson typing them in. Possible duplicates are flagged, and the lead goes to an owner or to an unassigned inbox.

02

Respond before the clock runs out

A response timer runs on your business calendar. The first real response, such as a logged call or a meeting, stops it; if nobody responds, it escalates level by level.

03

Work the deal and quote

The lead becomes a deal with activities and reminders. Quotations are built from your product list with tax worked out, numbered when sent, and revised as new versions.

04

Deliver, invoice and renew

A won deal becomes a sales order that moves through its stages. Invoices, receipts, contracts with renewal reminders and support tickets follow on the same customer record.

Core features

What the CRM covers

The features below are in daily use. Which of them a company switches on is a setting, not a rebuild.

Leads and the unassigned inbox

Leads from your website form, Excel import or manual entry, with duplicate checks by email and phone, assignment by managers, and a shared inbox for leads nobody owns yet.

Response timers and escalation

Response rules per lead source, worked out on your business hours and holidays. Escalation levels notify the owner, their team manager, a role or the owners, so a missed lead is always somebody's business.

Deals, activities and reminders

A pipeline of deals with calls, meetings and notes on one timeline, follow-up reminders, and a full audit of who changed what.

Quotations with tax

Line items from your product list, GST split into CGST and SGST or IGST, VAT, or no tax, numbered per financial year when sent, and stored as PDFs that only people with access can open.

Approval rules

Rules by order value or line discount send a quotation or an order to the right approver before it goes out. Nobody approves their own request; reminders and escalation follow if an approval waits.

Sales orders and delivery

Orders created from a won deal or an accepted quotation, with stages, tasks and checks such as purchase order received, payment, installation, training and customer sign-off. A stage completes itself when its last check is met.

Invoices and receipts

Invoices for the whole order, a percentage or the balance, proforma copies from drafts, and receipts allocated to the oldest invoice first, with overdue reminders.

Contracts and support tickets

Maintenance contracts with reminders before they expire, and support tickets with response and resolution targets by priority that pause while you wait on the customer.

Freelance and field sales

Built for outside salespeople too

Many companies sell through freelancers or field staff who are not on the payroll and do not sit in the office. The CRM lets you give them the leads they need without giving them the whole customer list.

How the freelance controls work

A login marked as freelance cannot export leads or deals, and the Export buttons are hidden from it. It can open only a set number of different leads a day; reopening one it has already seen does not count. When it types in a lead whose email or phone already exists, it is told only that the person is already with you, and the duplicate itself is not shown. Every sign-in, wrong password, export attempt and duplicate hit is logged with the address it came from, and managers see each salesperson's last sign-in, activities, calls and untouched leads in the reports.

When you switch a freelancer off, their open leads go back to the unassigned inbox and their active deals are released, with a line in each record's history. Their follow-up tasks are handed to whoever is assigned next, so no reminder goes to a login that no longer exists.

Teams and access

Roles, teams and what each person sees

The CRM has four working roles. Owners see and configure everything. Sales managers see all leads, or only their own teams' leads if you prefer. Salespeople see their own leads and deals, plus the unassigned inbox if you allow it. An operations role handles order tasks, installation and accounts without seeing the sales pipeline. Every change is checked against these rules on the server, not just hidden in the screen.

Notifications arrive in the CRM's bell and by email through your own mail server, and their wording can be edited per company. Your logo and colours appear after sign-in, and the customer sign-off page carries your brand only.

Connections

Website form, imports and the HR link

Website form

Your website posts enquiries straight into the CRM with a form key. Bot submissions are filtered with a hidden field, an optional Cloudflare Turnstile check, a limit per visitor and a duplicate window, and every bot is told "thanks" so it learns nothing. Our website design and development team can wire the form into an existing site.

Excel import

Lists from events, partners or an older CRM are imported from Excel with a preview of every row before anything is saved, and the manager is told once per file what came in.

Link to the HR platform

Companies that also use our HR and payroll software can link the two. The people directory follows HR, and when an employee leaves, their CRM login is switched off and their open leads and deals are handed to their manager.

Who it is for

Who it suits

Project and equipment sellers

Companies that sell kiosks, machines, installations or software projects, where a sale needs a quotation with tax, a delivery plan, installation, training and a maintenance contract afterwards.

Companies selling through freelancers

Businesses that hand leads to freelance or field salespeople and want to see activity without exposing the full customer list.

Teams that live on response time

Any business where the first company to call back wins the enquiry. More sectors are covered on our industries pages, and the way we run projects is set out in how we work.

Getting started

Demo, setup and support

The CRM is shown in a walkthrough with demo data rather than offered as a self-service trial, because the useful part is setting up your response rules, products, tax settings, approval rules and order stages to match how you sell. We set up your company, import your existing leads and configure the rules with you. Ongoing support, changes and new reports are covered by our consulting and AMC support service, and links to other systems by our integration team. Pricing depends on the number of users and the setup involved and is quoted after the walkthrough.

See your sales process in it

Tell us how enquiries reach you today, how many people sell for you, and what happens after a deal is won. We will show you the CRM with a setup close to yours.
