What is contractor induction software?
Contractor induction software is the system that makes sure every contractor, subcontractor and visiting worker has completed the site's safety induction, holds the documents the site requires, and has signed in before they pass the gate. It replaces the laminated slideshow in the site office, the folder of signed attendance sheets and the guess about whether the electrician who turned up this morning was inducted last year or never. The induction is taken online before arrival or on a kiosk at the gate, a short test confirms it was understood, a certificate with a QR code is issued, and the QR code is what opens the site's sign-in.
AtashiTech's contractor induction software is a subscription product. It runs on an iPad, an Android tablet, a Windows kiosk application, a web browser and the worker's own phone through a QR code, with no app to install. It shares its account, its sign-in and its evacuation list with our visitor sign-in software, so a site that already signs in visitors adds induction as a setting. It is a packaged edition of the contractor induction kiosk software we have deployed at plants and construction sites, and you can ask for a 14-day free trial from this page: we set up your account and email your login details.
Why inductions fail on paper
Every site has an induction. The question an inspector asks is whether the person who was hurt had taken it, and whether they understood it.
The induction nobody can prove
A manual induction runs like this. A new contractor arrives at seven, the supervisor is busy, so the induction is given at nine to a group of six by whoever is free, from slides that were last updated when the site layout was different. Six names go on a sheet. The sheet goes into a folder. A year later three of those six are still coming to site, two have changed employer, and one has an expired working-at-height card that nobody has checked because the card was looked at once, on the first day.
When an incident happens the folder is searched. The sheet is found, or it is not. If it is found, it proves that a person signed a sheet, not that they watched the slides, understood the permit-to-work rules or knew where the muster point was. The site manager has spent hours a week giving inductions and still cannot answer the one question that matters.
The induction that proves itself
With induction software the contractor receives a link before they arrive. They watch the site's modules on their phone in their own language, answer a short test, and receive a certificate with a QR code. At the gate the QR is scanned, the system confirms the induction is valid and the required documents are in date, and the worker is signed in with a timestamp. If anything is missing, the gate shows what and the worker completes it on the kiosk there and then. The record is complete before the first boot touches the site, and the site manager gave no induction at all.
From invitation to gate pass in four steps
The order below is the default. Each site decides which modules a given contractor category must take, how long an induction stays valid and which documents are checked.
Register and invite
The contracting company or the site invites the worker by email or by sharing a QR code. The worker registers on their phone with the fields the site requires: employer, trade, emergency contact, and photos of the licences and cards the site asks for, with expiry dates.
Take the induction
The site's modules play on the phone, the tablet or the gate kiosk: videos, slides and narrated pages in the worker's language. A timed test follows. The pass mark, the number of attempts and the validity period are set per site.
Approve where needed
Sites that require it route the registration to a supervisor for approval, with up to two levels. The approver sees the documents and the test result and taps Approve from the notification. A certificate with a QR code is issued on approval.
Sign in at the gate
The QR code is scanned on the kiosk, the tablet or a security guard's phone. The system checks the induction is valid and the documents are in date, then signs the worker in. Sign-out is the same scan on the way out, and the live on-site list updates both ways.
What is included
Induction modules and tests
Upload your own videos, slides and documents, group them into modules per contractor category, and add a timed test with a pass mark. Modules can be retaken, and the result is kept per attempt.
Certificate with QR code
A pass issues a PDF certificate with a QR code and an expiry date. The QR is the worker's gate pass and the proof an auditor can scan.
Document and expiry checks
Trade cards, licences, insurance and medical certificates are uploaded with expiry dates. The gate refuses a pass when a required document is missing or expired, and the worker is told exactly what to fix.
Approval workflow
Optional one- or two-level approval of a contractor's registration, by email or in the app, with exit approval available for material and equipment leaving the site.
Gate sign-in and sign-out
QR scan on the kiosk, the tablet or the guard's phone. Vehicle and material movements are logged alongside people, so the gate keeps one record.
Live evacuation roster
Everyone signed in, on any phone at the muster point, with tick-off. It works from the device's own data when the network is down.
Multilingual induction
Modules and tests in the languages your workforce speaks, with the worker choosing on the first screen. Translation help is built into the authoring portal.
Refresher inductions
Set a validity period per module. When it expires the pass stops working at the gate and the worker is offered the refresher on their phone or at the kiosk.
Toolbox talks and quizzes
Short safety quizzes with a leaderboard and group training sessions recorded against each worker, for sites that want more than the one-time induction.
Hazard and grievance reporting
Workers report a hazard, give feedback or raise an anonymous concern from the same phone page, and the site team tracks it to closure.
Reports and audit export
Induction status by company and trade, test results, expiring documents and daily attendance, exported to Excel for the client, the auditor or the site diary.
Multi-site, one account
Each site has its own modules, categories and gate devices. A worker inducted for one site is inducted only for that site, which is what the regulations expect.
Available on every device at the gate
One subscription, one worker record, whichever hardware the site already has.
The 14-day trial runs on Android tablets, Windows kiosks, the web version and the phone QR pages. The iPad and iPhone apps are the same product and are installed for paying customers during onboarding, because Apple distributes business apps through a developer account that is set up per customer deployment.
Evidence in the shape regulators expect
Workplace safety law in every market we serve places a duty on the site to ensure contractors are competent and informed before they work: the OSHA standards in the United States, the Health and Safety at Work Act and CDM Regulations in the United Kingdom, the EU Framework Directive and its national transpositions, ISO 45001 wherever it is adopted. What the regulations have in common is that the duty is on the site and the evidence must be retrievable. The software records who was inducted, in what, when, with what result, and who approved it, and it keeps the expired documents it refused as well as the valid ones it accepted.
Personal data is handled under the same rules as our visitor product: a privacy notice before anything is stored, consent recorded for photos and for the optional face or fingerprint sign-in, retention periods per site, erasure on request, and European hosting for European customers. Nothing in the product depends on a national identity number.

From sign-up to first inducted contractor
Request the trial from this page. We email your portal login, usually within one business day, with a demo site, sample modules and a sample test, so you can see the whole flow before uploading anything. Replace the sample modules with your own slides or videos, set the contractor categories and the documents each must hold, print the QR poster for the gate, and send the first invitation. The web version works immediately; the iPad, Android and Windows apps pair with a QR code from the portal.
Sites that want help producing induction videos, translating modules, connecting turnstiles or importing an existing contractor register can ask during the trial. That work is done by the team behind our safety training kiosk software and our kiosk application development service and does not change the product you are trialling.
Need it shaped to your company?
The subscription covers the common journey. When your process, hardware or systems are different, we build a customised version for you.
Every customer starts with the same product and configures it from the portal: fields, rules, languages, branding and devices. Some organisations need more than configuration: a flow that follows your own approval chain, screens in your corporate design system, integration with your HR, ERP, access-control or hospital system, a specific badge printer, turnstile or payment terminal, a Windows kiosk built for the hardware you have already bought, or hosting in a particular country. Those are customised versions of the same product, scoped to your requirement and delivered by the team behind our contractor induction kiosk solutions. Larger estates, multi-country groups and public-sector buyers usually take this route, with a pilot first and a contract that names what is being built.
Tell us what is different about your site and we will come back with a scope, not a sales pitch.
