What is WhatsApp messaging software for business?
WhatsApp messaging software lets a business send WhatsApp messages to its own customers from one place, without a phone in someone's hand and without building any software of its own. You keep your customers, students, patients or members in simple lists, and the software sends the right message to the right people: a notice to a whole group today, an update the moment a status changes, or a reminder a few days before a date in the list. Replies, delivery receipts and opt-outs come back into the same screen.
Ours is built for businesses that have no order system or CRM to connect: clinics, colleges and coaching centres, gyms, couriers, service centres and membership clubs. We host it for you, set it up in your own business colours, and load your first lists with you. It runs on the official WhatsApp Business Platform, and AtashiTech is an approved Meta Tech Provider. Your WhatsApp Business account and number are yours, and Meta bills your messages to you directly, with no markup from us. If you already run your own software and want it to send WhatsApp messages itself, see our WhatsApp Business API integration service instead.
When businesses ask us for it
Three situations come up again and again.
Messages go out from one staff phone
A receptionist or office manager sends updates one by one from a personal WhatsApp, copying names from an Excel sheet. It takes hours, it stops when that person is away, and nobody can see later who was told what.
The records live in a spreadsheet
Appointments, fee dues, batches, renewals or deliveries are kept in Excel or a Google Sheet, not in a software system. There is nothing to "integrate" with, yet the business still needs messages to go out on time from that data.
People forget, and it costs money
Missed appointments, late fees and lapsed memberships are often just forgotten dates. A message sent at the right moment, on the app people actually read, recovers most of them without anyone chasing by phone.
How you get started
Four steps, from your own account to messages going out by themselves.
Your site and your number
We create your business's own space, in your colours, with logins for your team. You connect your WhatsApp Business number through Meta's own signup window, logged in with your own Facebook account. No password is ever shared with us.
Your lists
Upload an Excel or CSV file, link a Google Sheet, or type records in. Start from a ready-made kit for your type of business, such as a clinic, college, courier, service centre or gym, and change the columns to fit how you work.
Your messages
Write your message templates with placeholders for names, dates and amounts, and submit them to Meta for approval from the same screen. The kits include starter templates you can edit before you submit them.
Send, or let rules send
Send to a group today, or switch on rules so messages go out by themselves when a date comes near or a status changes. Every message, delivery receipt and reply is logged, and you can switch any rule off at any time.
What the software does
Everything below is part of the hosted service. There are no add-on modules to buy.
Send now to a list or group
Pick an approved template, choose a group, ticked contacts or everyone, fill in the placeholders, and see how many will receive it before you press send. People who have not agreed to receive messages are skipped, and the log says why.
Lists from Excel or Google Sheets
Any list you need, with your own columns: text, numbers, dates, times, phone numbers, choices. Import from Excel or CSV with a preview first, or keep a Google Sheet linked so changes come in every hour, six hours or day.
Date reminders
A rule such as "three days before the fee due date, at 10 am, while the fee is still pending" plans every reminder for you. Move a date in the list and the reminder moves with it; mark the fee paid and it is not sent.
Status updates and schedules
Send a message when a record is added or when a field changes, such as a parcel marked "Out for delivery" or a result marked "Published". Weekly, monthly and one-off sends are rules too.
Reply buttons that update records
A message can carry quick-reply buttons such as Confirm or Reschedule. When the customer taps one, the record in your list is updated by itself, and that change can send the next message.
Message log and replies
Sent, delivered, read and failed status for every message, a retry button for failures, and the replies customers send back, listed against the contact who sent them.
Consent and opt-out built in
Only contacts who have agreed are messaged. A reply of STOP or UNSUBSCRIBE, or a word you choose in your own language, opts the person out at once, and that opt-out survives a re-import of your spreadsheet.
Team logins and calendar
Separate logins for owners, managers and front-desk staff, each with what their role allows, an activity log, and a month calendar on any date in your lists, such as appointments or batch starts.
Who owns what, and how your customers' data is used
The WhatsApp Business account, the phone number and the conversations belong to your business. You connect them to our software through Meta's signup, and you can remove that access from your own Meta business settings whenever you like.
Your lists and contacts are used only to send your messages, show you delivery reports and record replies and opt-outs. We do not use them for our own marketing or for advertising, and we never sell them. Message logs are kept for up to twelve months. You can download everything at any time as a set of spreadsheets: contacts, consent history, opt-outs, every list, the message log and the activity log. It is deleted when you stop using the service. The full position is in section 7 of our privacy policy.
Meta carries the messages under the WhatsApp Business Policy and bills its charges to your own account at its published rates. The software uses utility message templates by default, the category meant for updates customers expect.
What the service is made of
Who uses WhatsApp messaging software, and for what
Six common setups. Each has a starter kit, or you can build your own lists from scratch.
Clinics and practices
Appointment confirmations, a reminder the day before with Confirm, Reschedule and Cancel buttons that update the appointment, and follow-up notes.
Colleges, schools and coaching
Semester and batch start notices, fee reminders before and on the due date while a fee is unpaid, and a message when results are published.
Gyms and membership clubs
Welcome messages for new members, renewal reminders before a membership lapses, and notices to every member or to one group.
Couriers and delivery
Booked, picked up, out for delivery and delivered, each sent when the status changes in the list or the linked sheet.
Service centres and repairs
Job received, technician visit reminders, ready-for-collection notices and service-due reminders months later.
Any business with a list
Event attendees, tenants, subscribers or customers on a register: if it fits in a spreadsheet with a phone number column, it can drive messages.
Setup, hosting and support
The service is a one-time setup fee, which covers your own space, connecting your number, your first lists and templates, plus a yearly fee for hosting, updates and support. Both are quoted individually for your business; we publish no rates, and any price attributed to us that did not come from us is not ours. There is no per-message charge from us at all. Meta's message charges are separate and are billed by Meta to your own account.
Everything that identifies your business on WhatsApp stays in your name: the portfolio, the account, the number, the templates and the conversation history. If you stop using the service you take your data with you as spreadsheets, and your WhatsApp number keeps working with any other provider.
When you outgrow lists and want your own software to send the messages, our WhatsApp Business API integration connects it directly, and a new portal or app can come from our web application team. Ongoing changes beyond the yearly service are covered by our consulting and AMC support.
